Entegrus Powerlines, progressive company dedicated to providing the highest level of service and a safe and positive work environment, requires an Administrative Assistant for its Chatham office. Reporting to the Vice President of Engineering & Operations, this position provides confidential administrative support to the executive and management teams.
MAIN RESPONSIBILITIES
- Provide time sensitive administrative support to the VP and management team, including management of calendar activities, preparation of expense reports and arrangement of travel plans;
- Effectively communicate verbal and email messages in a timely manner to a variety of stakeholders involving confidential, financial and privileged information;
- Prepare Environmental Health & Safety Board Sub-Committee agendas and assemble meeting packages, attend meetings and prepare minutes;
- Provide support to the Payroll Analyst, including checking time entry and calculating and processing payroll remittances;
- Provide administrative assistance to the internal Project Management Office and the Employee Idea Submission Program;
- Assist in the co-ordination and execution of corporate events and functions;
- Maintain office supply inventory and co-ordinate the ordering and delivery of protective clothing;
- Administrate the scheduling of company pool vehicles;
- Administrate the company mobile phone program, including co-ordination with the mobile phone provider, maintenance of the inventory list, ordering new devices and providing usage reporting;
- Provide back up to the Executive Assistant as required;
- Assist with other confidential projects and duties as assigned.
QUALIFICATIONS
Education: Completion of a two-year college diploma, preferably in Office Administration
Experience: A minimum of four (4) years of practical experience in providing administrative support or equivalent
Skills: Strong interpersonal skills and a strong team player; strong organizational and communication skills; ability to multi-task and adhere to deadlines in a fast-paced environment; ability to recognize, manage and respect confidential information in a professional manner. Strong working knowledge of Microsoft Office applications.
Other: Must possess a valid “G” Ontario Driver’s Licence and an acceptable Driver’s Abstract.
This is a salaried position and includes compensation and benefits in accordance to the company’s non-union benefit program. Regular hours of work are from 7:30 a.m. until 4:00 p.m., daily. Travel to the St. Thomas office may be periodically required.
